I recommend Honeybook as a CRM for people who want something that is easy to use right out of the box. In my opinion, it's not as robust as Dubsado, but it's still an amazing tool. If you're a DIYer who wants a zero-fuss setup, Honeybook could be a great option for you.
It probably won’t surprise you that I recommend Dubsado the most. Bring all your proposals, contracts, invoicing, payment reminders to the one organized dashboard. Use workflows to create seamless, automated client experiences that will wow your clients and save a ton of time.
If you let it, scheduling can suck up a lot of time and add a ton of unnecessary emails to your inbox. Dubsado has a built in scheduler, but sometimes you need something a little more robust, and that’s when I recommend Acuity.
Writing great canned emails is one of the hardest parts of systemising your client experience. This set of 40+ email templates includes all the emails you need for Dubsado, plus a handful to help you deal with awkward situations (e.g. “you’re too expensive”, scope creep, and “we’re not a good fit” replies).
While ClickUp is where my planning happens, this little app makes sure I actually implement those plans. I'm a huge fan of the Pomodoro technique, and Focus To-Do is the best Pomodoro app I've found.
ClickUp is my go-to for project planning — it’s a huge help when it comes to staying focused on my goals, and delivering client work on time. But here's the thing — find a project management tool you like, and you're going to keep using it long term. If ClickUp doesn’t feel right for you, have a look at Asana, Trello or Monday.com.
Need a way to quickly communicate with your clients in between meetings? Voxer is a great “walkie-talkie” app that allows you to have real-time voice messages. I love it because it’s faster and more personal than email.
You can’t beat Zoom for online meetings. Most of my clients + students find that the free plan works well enough, but if you have meetings with more than 1 person at a time you’ll want to upgrade to a paid version.
Zapier makes it possible to connect apps that don’t already have an integration of their own. The possibilities are endless, but here’s an example of one of my favourite “Zaps”. When a new client signs a contract in Dubsado, Zapier can automatically get them set up for you in ClickUp and Google Drive.
Give yourself one less thing to remember by adding all your passwords to LastPass. It’s super simple to set up, easy to use and share and receive passwords with clients or contractors. I’d be lost without it.
